- Renewal preparation steps are documented well enough that a new account manager could follow them.
- Shared service inboxes have agreed categories, ownership rules, and response-time expectations.
- Someone can state, with numbers, how long a typical renewal brief takes to assemble today.
- The exceptions that always need a licensed broker are written down, not held in individuals’ heads.
Documents and data
- Policy documents, schedules, and endorsements are reachable without asking a specific office.
- Carrier document variation across the book is roughly mapped, even if informally.
- Naming and filing conventions exist, even if compliance with them is uneven.
- Client data boundaries are known: what can leave the broker management system, and what cannot.
Controls and accountability
- The approval points where a licensed professional must sign off are explicitly identified.
- Evidence-retention obligations for E&O and regulator review are understood for AI-assisted work.
- There is an agreed position on which models and vendors may touch client information.
- Leadership has decided who is accountable if an AI-prepared document is wrong.
Pilot readiness
- One bounded workflow—not a department—can be named as the first candidate.
- Two or three named reviewers can commit time during an eight-week window.
- A baseline measurement period of two to three weeks is tolerable before automation starts.
- Success and stop conditions can be agreed before any build begins.
What the Score Tells You
Mostly yes: pilot now. Mostly partly: two weeks of groundwork first.
A firm that answers yes to most workflow and control items can move straight to a bounded pilot. Gaps in documents and data usually mean a short standardization pass first—it is cheaper to fix filing conventions before automation than during it. Either way, the checklist turns a vague AI ambition into a scoped, measurable first move.
