Wealth Management Firms · Readiness Checklist
AI readiness checklist for wealth management firms.
Sixteen checks we run before scoping an eight-week pilot in a multi-office wealth firm. Clear answers here are the difference between a measured pilot and an expensive experiment.
Workflow and ownership
- Meeting preparation steps are consistent enough across advisors to describe as one workflow.
- Client onboarding has a named owner at each handoff, and the handoffs are listed.
- Someone can state how long advisor meeting preparation and onboarding currently take.
- Service follow-up obligations after meetings are tracked somewhere other than memory.
Documents and data
- CRM records, notes, and client documents are accessible under one permission model.
- Household and relationship structures are represented consistently in the CRM.
- Onboarding forms, suitability evidence, and account documents have defined storage locations.
- Client data residency and privacy boundaries are explicit for any AI processing.
Controls and accountability
- The actions that always require advisor or compliance approval are written down.
- Supervision and record-keeping obligations for AI-assisted client communication are understood.
- There is an agreed position on which models and vendors may touch client information.
- Leadership has decided who is accountable if an AI-drafted client document contains an error.
Pilot readiness
- One workflow—meeting briefs, onboarding, or CRM hygiene—can be named as the first candidate.
- A small group of advisors and reviewers can commit time during an eight-week window.
- Baseline cycle times and record-completeness rates can be measured before automation starts.
- Success and stop conditions can be agreed before any build begins.
What the Score Tells You
Mostly yes: pilot now. Mostly partly: two weeks of groundwork first.
A firm that answers yes to most workflow and control items can move straight to a bounded pilot. Gaps in documents and data usually mean a short standardization pass first—it is cheaper to fix filing conventions before automation than during it. Either way, the checklist turns a vague AI ambition into a scoped, measurable first move.
